Who this covers

This policy applies to the Kiwi Bot Discord bot and this website. In it, we means the operator of the bot, and you means anyone in a server where the bot is present, whether you use its commands or not.

The bot runs on a single server we operate. It is not a hosted platform, there is no advertising network attached to it, and no third party analytics run on this website.

What the bot stores

Warning records

When a moderator runs /warn add, we store a record keyed by the guild ID and the warned user ID, containing:

• the Discord user ID of the moderator who issued the warning
• the reason text the moderator typed
• the timestamp the warning was issued
• an identifier for the warning, so it can be removed individually

These records exist so that /warn list can show a member's history to your moderation team. Nothing else is derived from them.

Per guild configuration

We store settings a server chooses, keyed by guild ID. This is configuration data such as channel and role IDs the server has pointed the bot at, and feature preferences. It contains no message content.

What the bot does not store

• Message content. Messages the bot reads or deletes during a /purge are not written to storage. The only free text we retain is the reason a moderator deliberately types into a command.
• Email addresses, real names, or payment details. The bot never asks for them and there is nothing to pay for.
• Voice, direct messages, or attachments. None are recorded.
• Browsing behaviour on this site. No cookies are set for tracking, and there is no analytics or advertising script on any page.

Why we store it

The legal basis is our legitimate interest, and the server operator's, in running a moderated community. A warning history that vanished on restart would make the feature useless, and configuration has to persist for the bot to behave the way a server set it up to behave.

Sharing

We do not sell, rent, trade, or share your data with anyone. There are no advertising partners, data brokers, or third party analytics providers involved.

Warning records are visible inside Discord to members of the server who have permission to run the warning commands. Data is transmitted to Discord itself in order to send messages and read commands, which is governed by Discord's own privacy policy. We would disclose data only if legally compelled by a valid order.

Where it lives and how long we keep it

Data is stored in a SQLite database on a single server we control, with access limited to the operator. Backups, where taken, are held on the same infrastructure.

• Warnings are kept until a moderator removes them with /warn remove or /warn clear, or until you ask us to delete them.
• Guild configuration is kept while the bot is in the server and is deleted within 30 days of the bot being removed.

Your choices and how to request deletion

You can ask us to do any of the following at any time:

• tell you what we hold about you
• send you a copy of it
• correct something that is wrong
• delete it

The fastest route for warnings is to ask a moderator in the server, who can run /warn remove or /warn clear straight away. Otherwise, email support@example.com from an address you can be reached at, or open a ticket in our support server, and include your Discord user ID and the ID or name of the server involved. We respond within 30 days.

We may ask you to confirm your Discord user ID before acting on a deletion request, so that one person cannot erase another person's moderation history.

Children

Discord requires users to be at least 13, or older where local law sets a higher age. The bot is not directed at children under that age. If we learn we hold data about someone below it, we delete that data.

Changes to this policy

If we change what we store or how we use it, we will update this page and move the date at the top. Continued use of the bot after a change means you accept the updated policy.
